Academic Registry

5 min read

Academic Registry has a primary function to provide a high quality, responsive and forward-looking service to students, staff, our partner organisations and visitors to the University.

We are located on the Bishop Otter Campus, Chichester and ensure that records for all students (undergraduate, postgraduate, research and academic partner students) are accurately maintained and complete from the time an applicant becomes a registered student through to the final award. Academic Registry provides a professional and proactive service, including an enquiry counter. We can also be reached by email, telephone or in person if you have any queries or feedback about this page and the services described.

Useful Information

Module Changes - Deadline

The deadline for students to amend their Module Registration for 2024/25 should be submitted via ChiView in the first instance or email to Modular by Friday 14th October. After this point, only exceptional changes may be approved. Please note, however, that changes to students Module Registration are subject to whether the teaching timetable will allow and whether a module is already at full capacity.

Module changes for semester two must be submitted to the Modular Team by no later than two weeks into Semester 2.

  • Continuing Students (Level 5 & 6) – The deadline for students to complete a Change in Registration was the 31st August.
  • New Students – Must submit a Change in Registration no later than 4 weeks (not including induction) of the start of the academic year.

Any exceptional requests outside of these timescales must be put in writing to the Academic Registrar by the relevant Head of Department/Director of Institute for approval or escalation to the DVC (Student Experience).

Requests to change module groups will not normally be approved after two weeks into teaching. If you do wish to change module groups (during the first two weeks) you will need to follow the procedure below:

1. Find a student in an alternate session to swap with and check with the module tutor that you are able to join their module group before submitting your request, OR
2. If you have sought the permission of the Module Tutor and they have provided email confirmation that you can change groups and that there is no need to swap with another student (i.e. no group/room size issues) you will need to submit this confirmation with your request to enable us to process the change.
3. Check that the proposed module group change works with your current timetable.
4. E-mail Timetable@chi.ac.uk with the details of the group change (i.e. dates and times) and also include your student number, the module code and the name and student number of the person you are going to swap with. Please ensure you copy in your Programme Administrator and the person you are swapping with into the e-mail.

If you wish to change groups due to a medical condition, disability or exceptional circumstances (e.g. let down by regular childcare provision) and it is approved by the module tutor(s), this will be accommodated wherever possible. For change requests of this nature speak to your Programme Administrator who will email Timetable@chi.ac.uk with details of what the group change is.

All of this information can be found in the Student Handbook.
