SARA Privacy Statement - how we use your personal data

As a University we have a duty to make reasonable adjustments[1] to enable you to fully participate in your studies.  The Student Additional Requirements Agreement (SARA) is a formal record of the reasonable adjustments agreed between you and the University of Chichester. You will be asked to provide appropriate supporting evidence, and the recommendations will be drawn up with help from an appropriate advisor.

Once you are happy with the proposed adjustments we will ask you to sign a declaration to say you agree with the adjustments and understand how we will process your personal data.

As the SARA contains sensitive information about your condition (known in data protection legislation as ‘special category data’) we will ask you to sign a consent to share this information with your Academic Department and with Academic Registry (Assessment Team).  Without your signed consent to share we will not be able to make the reasonable adjustments needed for your course work and assessments.

The Head of your Academic Department (or other appropriate senior member of academic staff) will sign the SARA to agree the adjustments and will make sure all relevant members of staff are aware so they can ensure the arrangements are put into place for you.  Your Academic Department will keep a record of your SARA for the duration of you studies and will deleted it when you leave the University or move to a different Academic Department.

Academic Registry (Assessment Team) also receive an electronic copy of your SARA so they can ensure the adjustments you need are in place during your exams and other assessments.  This will be stored securely for 3 years and then deleted.

Key extracts of the reasonable adjustments only will also be added to the University Student Record System.  These will be viewable only by authorised members of staff on a need-to-know basis and will be removed when you leave the University.

The SARA, and supporting evidence that you have provided are stored in confidential, secure electronic form.  These are only accessible to appropriate members of staff on a need-to-know basis within the Disability and Dyslexia Service and Student Support and Wellbeing Services.  Three years after you leave the University all the information will be securely deleted.
