Setting up your voicemail
If you are a new user you will need to set up your voicemail in order for people to leave messages for you.
1. To access voicemail from your own extension lift the receiver
2. Dial 6375
3. Enter 0000 when the system prompts you for a security code
If a prompt says 'as a new user you must first set up your mailbox you must first set up your mailbox' please see the setup a new mailbox section further down this page.
4. You will be notified whether you have any messages or not
5. If you have messages press 1 to hear them, 5 to save, and 4 to delete
6. Once dealt with messages, or if you don’t have any, continue through the menu
7. Press 3 to go to Phone Manager Function
8. Press 1 for Personal Options
9. Press 3 for Recording Personal Greeting
10. Press 1 to record a message for when phone extension is busy. To do this press 2 to start recording and 2 again to stop recording. If you are happy with the recording press 5 to save or 4 to delete and re-record
11. Then press * to quit to return to the main menu
12. You will again hear the options and press 3 to return to Phone Manager Function
13. This time press 2 to record a message “for all other conditions” and do in the same way as before
14. Then press * to quit to return to the main menu
15. Now press 4 to change your security code. In future this security code must be used whenever you want to access voicemail so it is important to enter a security code you will remember. Also if you share the office extension and voicemail, make sure it is a number all who use that extension can remember
16. Press * to quit to return to the main menu
17. Press 5 to record your name. This is just your name and no message is needed here
18. Press * to quit and you may hang up now
Setup a new mailbox
If you are prompted at Step 3 to setup a mailbox, please run through these series of prompts:
- Start with the security code by following the procedure
- Record your name
- Record your personal greeting
Your voicemail is now set up and callers will get your message now when they want to leave you a message.
Message notification
Now that you have set up your voicemail box you will receive message notification to let you know you have messages.
Message notification on older style phones that don’t have a display window will have a flashing red light and an interrupted dial tone when the receiver is lifted. If this is happening then the user needs to access the voicemail system and check for messages.
Message notification on phones with a display window will have the words ”message waiting” appear on the screen. If this is happening then the user needs to access the voicemail and check the system for messages.
Note: We recommend you check your voicemail box regularly even if there is no message notification
