Student Induction

Logging In for the First Time

If you have already pre-registered and been given a network username and temporary password, then you can skip this section and login to Portia or any open-access machine on-campus.

If you haven't got a username yet, make sure you have completed the following three steps:

  1. Pre Register - Log into the Admissions Portal HERE with your student number and date of birth, then click the link called "Pre-registration & Uni Network Account", complete the pre-registration form and save your details.
  2. Makeme - You will then be automatically taken to the Makeme webpage to create your network account. You will again need to confirm your student number and date of birth, and at the end of the makeme process you will be given your network username, temporary password and email address.
  3. FastPass - At the end of the Makeme process you are presented with a link to FastPass, where you can enrol, then change your temporary password

Now you can go to Portia (on or off-campus) and login with your username and password,  or login to any open-access computer on-campus (PCs or Apple Macs).

Example usernames: cweb1 or smcdona3

Example email addresses: cweb1@chi.ac.uk or smcdona3@chi.ac.uk

Running Makeme: if you you have pre-registered, but still need to complete Makeme you can do the following:

On-campus: go to any Windows 7 open access machine, and login with 'help' as the username and no password, then click 'Student Makeme Process'.

Off-campus or from a laptop: click HERE, then follow instructions.

IT Help

You can get IT Help in various ways:

  • Support & Information Zone (SIZ) for face-to-face help
  • Telephone support 01243 816222 or ext 6222
  • Email the SIZ on help@chi.ac.uk
  • Self Service Portal (to log jobs via the web portal)

These services are described in detail on the IT Help webpage (which can be accessed in two different ways)

The IT Webpage can be accessed off-campus (without logging in).

Important Checklist

Once you have successfully logged on to a university computer, there are a few important checks you must complete.

The items on this checklist are explained in more detail in the next sections.

Portia: Open the desktop icon called 'Portia' and make sure you can login with the same username and password

Email: Once logged into Portia, click the 'Outlook Live' icon and make sure you can access your inbox

Sonar: Make sure you sign up for a Sonar account. You will use this account to access your course timetable and future exam results.

Moodle: In Portia there is a channel called 'Moodle' which lists your modules. By induction week (19 September 2011) check and make sure you can see each and every course module that you have enrolled on.

Password Self Service: Set up your challenge/response questions for our self-service account management system, so that you can reset or change your password, or unlock your account whenever you need to in future (see the "Passwords" section lower down).

Portia

Portia is the University Portal system, which can also be accessed off-campus.

Once logged in to Portia you will be able to access:

  • Email (Outlook Live)
  • Moodle
  • Self Service Portal
  • Status of IT Services (traffic light system)
  • Student and Campus Announcements
  • Skydrive
  • IT Help
  • Intersite Bus Timetable (Uni Bookmarks/Uni Quick Links)
  • University Phonebook

The ways to access the Portia login page are:

  1. Via the desktop icon called "Portia" (if on campus)
  2. Or go to the main website www.chi.ac.uk and click 'University Portal'
Email

Email can be accessed via Portia.

Once logged into Portia click the 'Outlook Live' icon (which is located along the top).

You can also login your email account by going directly to www.outlook.com however this method requires you to login with your email address instead of your username.

Email can be checked from some smart phones such as iPhones, BlackBerrys, and some phones running Windows Mobile or Android.  See the 'Mobile Devices' section lower down.

Here is the email system technical info:

  • 10gb of space to store emails
  • 25mb limit per email
  • Unlimited number of attachments (unless exceeds 25mb)
Sonar

Your course timetable and future exam results will be accessed on Sonar.

You can sign up for your Sonar account in two ways:

  • Locate the Portia channel called 'Sonar', then click 'Get One Now'
  • Or go to the Sonar page and click the link labelled 'please create your sonar account'

Once logged in you will notice Sonar also holds all your personal contact details (e.g. address, contact numbers etc). Therefore please make sure all this information is correct, and keep up to date.

Moodle

Moodle is your online Virtual Learning Environment (VLE).

You access Moodle from the channel on Portia, which lists all your chosen modules.

Each of your modules will have its own online Moodle page.

Lecturers use Moodle pages to post up:

  • Course information
  • Files to download
  • Links to other websites
  • Multimedia
  • Activities for you to participate in

Each lecturer will use Moodle in a slightly different way, therefore each lecturer will explain to you how to use Moodle as part of your course.

Announcements made within Moodle will go directly to your University Email account, therefore it is essential you regularly check your Uni email.

You can also login to moodle directly from http://moodle.chi.ac.uk/

Passwords

Once you are logged on to Windows, you can change your password with Contol-Alt-Delete.

You can also manage your own password using FASTPASS (our self password management system).

Once you have enrolled on FASTPASS you will be able to do the following (even off-campus) without contacting IT Services:

  • Change your password
  • Reset your password - if your password doesn't work, or you forget it
  • Unlock your account -  if it locks due to 3 incorrect attempts

Before you can start using FASTPASS you have to enrol on the system, which requires you to provide answers to four security questions.

Then, in future, you will have to answer those security questions to use the FASTPASS features.

If you forget your password off-campus, you can reset it by following the FastPass link on the Portia login page:
 
If you forget your password on-campus, you can login to a Windows 7 machine with the Username "help" and no password, then click FastPass from there.
Your Files

You have 750 mb of storage space (which includes your desktop items)

The area where you can save files and create folders can be accessed in the following ways:

  • Click the Start Button then choose Documents
  • Or open the H-Drive and choose My Documents
  • Click the Windows Explorer button on the taskbar, then choose Documents

Warning system: each time you login to Windows it will check your quota, and if you have less than 10% remaining, you will see a balloon tool tip warning appear in the bottom right of the screen.

Backups: your files are stored on a University server which is backed up each week night at about midnight (Mon-Fri). Therefore if you accidently lose an important work file you can request a file restore. Please note, as a minimum, we can only restore from the previous night (not that same day).

Remote access to your files: you can also access your files from a machine off-campus (once you have setup the connection).

Printing, Photocopying and Scanning

We have new Equitrac units dotted around both campuses, some are printers, some are multi-function Printer/Copier/Scanners.

You will always choose the same printer, which is UOC-Students

As you print jobs, they gets added to your holding queue. Now you can go to any printer on either campus, inset your personal pin number, then choose the jobs you want to release.

Your Pin number is usually your student number, but if you don't know your pin you can have it emailed to yourself by locating the Portia channel called ‘PIN print, copy, scan’ then click on ‘Email me my pin’.

Print Credit Top-Up: There is a print top-up machine in the LRC of each campus. You will use your pin number in order to top-up.

Costs: The student costs for using printers and photocopiers can be found by clicking the 'Printing Section' link lower down.

Scanning: you can also scan (using your pin number) directly to your USB stick, or scan to your email account as an attached PFD file.

Personal laptops: you can install the printer driver on your laptop, also enabling you to then release prints from any printer on either campus.

Wireless (Wi-Fi)

Wireless coverage is available in many areas on both campuses.

You can connect your Mac or Windows laptop to our wi-fi, as well as many mobile devices (including iPad and iPhones).

For help connecting, and also to see the areas around campus that wi-fi covers, please see the main section about wi-fi.

 

Many modern devices will be able to connect to our wi-fi by simply choosing our network 'ChiUni' and inputting your username and password.

Alternatively you can connect to the 'eduroam' network (but instead use your email address as the username) more details.

Laptops

If your laptop is running a fairly modern operating system then you should be able to access the following services:

  • Wi-Fi (the university wireless)
  • The University's printing system

Please see the wireless section for setup guides on Windows and Mac laptops, including iPad / iPhone and other mobile devices. This wireless section also shows maps of Wi-Fi hotspot areas around both campuses.

Note: the Data and Systems Security Policy also covers the use of mobile devices.  You should take this into account and enable the security features of your device.  If you lose a mobile phone or tablet with University email on it, then please inform the service desk as soon as possible, and we will arrange for the email data to be erased from the device remotely.

Many mobile smart phones can connect to the IT resources available.

If your phone is compatible you will be able to access the following services:

  • Wi-Fi (wireless)
  • Email account (and receive new mail alerts)
  • Calendar (and receive event reminders)

Each mobile phone will have a different menu system therefore we cannot create a guide that covers all models available. However the settings you need to input should very similar to those outlined in the iPhone / iPad guide in the Mobile Devices section.

Study Zones

To help you study in the best possible environment, the Learning Resource Centres (LRC) are divided into 3 different zones:

Each area is signed according to its zone throughout the building.

Most of the areas of the ground floor will be marked 'Group Study' with some exceptions for working areas.

The upper floors with be mainly marked either 'Quiet Study' or 'Silent Study'.

We ask that these zones are respected to ensure all LRC users are able to work in an area that is conducive to their learning. Your comments are welcome and feedback forms are available in the building or through the self-service portal, located in Portia.

Skydrive

In addition to your 750mb (0.75gb) of University file storage, you also have SkyDrive which is a further 25,000mb (25gb) of web storage, which can be accessed from off-campus via Portia.

The files you upload to SkyDrive are NOT backed up, therefore if you delete a file (agreeing to permanently delete it) then you will not be able to get it back.

SkyDrive can be launched by clicking the ‘SkyDrive’ button in Portia, or from the Outlook Live email system by clicking ‘more’ then ‘SkyDrive’.

Here are the details of your SkyDrive account:

  • 25gb (25,000mb) of web-based storage space
  • 100mb size limit per file
  • Create folders and sub folders
  • Share top level folders with others (not sub folders)
  • To share a folder, open it first, think click ‘Send a Link’
  • Create Word, Excel, PowerPoint and One Note files, all within your browser
  • Multiple people can edit the same Word document at the same time (without data loss)
  • Share photos stored on SkyDrive via email, text, or IM

Make sure you use your Windows 7 ‘Documents’ area to store your main University work (which gets backed up). SkyDrive may be a useful place to keep copies of work.

Equipment Loans

The loans desk on the Chichester campus is located very near the library entrance (next to the Media Centre).

For opening hours and more detailed info, please click the ‘Equipment Loans’ link lower down.

Equipment loans offer a variety of equipment including:

  • Video cameras
  • Digital dictaphones
  • Still cameras
  • Data projectors
  • Podcast recorders

Any equipment returned out of working hours can be left inside secure lockers.

The Student shop (near main reception) sells CDs and DVDs.

Media Centre

The Media Centre help provide support and training for creative students.

The centre has Apple Mac workstations (that can also dual boot into Windows 7), HD video edit suites, a large format printer for creating high quality prints, and a multi-stack DVD burner.

The technicians can also offer assistance/training to improve your skills in the following areas:

  • Video editing
  • Photo editing

Music editing can also be done in the Media Centre.

Although the training area is usually available as student open access, it is occassionally booked for training sessions. All training sessions are publicly displayed on the Media Centre weekly timetable.

Status of IT Services

The 'Status of IT Services' traffic light system can be found within the Portia channel, and on the IT Help Page.

If there are problems with any of the services offered by IT we will do our best to get the information published there as soon as possible.

You can click the 'Details' link to read a description of the issue, and any updates we post.

So, for example, if you notice a problem with email, instead of reporting it to IT Services straightaway, login to Portia and see if we are already aware of the issue.

We will also announce there when normal service has resumed.

To access the 'Status of IT Services' on the IT Help Pages visit http://help.chi.ac.uk (which can be accessed off-campus without logging in).

Self Service Portal

The Self-Service Portal is the easiest way to get help relating to IT Services, if you are off-campus.

You launch this service by clicking the ‘Self Service’ button in Portia * (near the top right).

Here are the features of the Self-Service Portal:

  • Log IT Services or Estates calls
  • Track your own calls (inc job history and view our updates)
  • Update your own calls (inc feedback of service)

Note: because IT Services & Estates share the Self-Service Portal, this means that if you live in Halls of Residence you can log a call eg. to report poor Wi-Fi signal in your room, or perhaps a blown light bulb etc.
